What information do we collect?

We collect information about you:

  • If you subscribe to our mailing list or ask to be contacted:

    • Name

    • Contact Information (Includes: email address, contact number and address)

    • Marketing and communications - depending on your preferences in receiving marketing from us

  • Additionally, if you are a partner landlord or tenant, we may collect additional information such as:

    • Marital Status

    • Gender

    • Date of Birth

    • Employment Details (Past & Present)

      • Including length of employment

      • Payroll Number

      • Salary Information

    • Name of University

    • Information regarding living preferences and interest/hobbies.

    • Right to Rent that includes data about your immigration status in the UK.

    • Financial information – such as your bank account and payment card details.

    We will only use your personal data for a purpose it was collected for or a reasonably compatible purpose if necessary.

 

What is the purpose of collecting this information and how will we process it?

We collect and process this information for the purposes of communicating with you, for record-keeping and pursuance or defence of legal claims.

  • to register new tenants and landlord partners of our business

  • to carry out our obligations arising from any contracts entered into between you and us and to provide you with the information and services that you are able to request from us

  • for training and improvement purposes.

  • to process your order including managing rental payments, fees and charges

  • to notify you about changes to our service, terms or privacy policy

 

Sharing your personal information

Any personal information that you provide to MILHUB Ltd will be treated by us as confidential and will only be sharing your personal information with certain trusted third parties in accordance with our contractual obligations that we have with them and to assist us in providing you with our services. This may include:

  • suppliers and sub-contractors for the performance of any contract we enter into with them or you

  • in the event that we sell, merge or buy any business or assets, in which case we may disclose your personal data to the prospective seller, partner or buyer of such business or assets

  • If you are unable to make payments under your tenancy, your information may be disclosed to any relevant party assisting in the recovery of this debt or the tracing of you as a tenant; and

  • In the creation, renewal or termination of the tenancy, your information will be disclosed to the relevant local authority, tenancy deposit scheme administrator, service/utility provider, or any other relevant person or organisation in connection with this.

  • if we are under legal obligation to disclose or share your personal data in order to comply with any legal case to protect the rights, property, or safety of MILHUB Ltd, our customers, or others. This includes exchanging information with other legal authorities for the purposes of fraud protection and credit risk reduction.

 

How long we will keep your information

We will only keep your personal information for as long as necessary to fulfil the purposes we collected it for. We will only intend to retain your information for a reasonable period, or as long as is required by law.

In the event of obtaining information for a period deemed reasonable to you, then you must tell us if you wish for us to keep any document for a longer period.
